Just Relax Inc. (JRI) is a unique vacation spa resort. As an organization, they have identified three main areas that require improvement. We feel that as a consulting firm we possess the talent and knowledge to provide them with a feasible solution. Listed below are the three main issues that will be addressed within our system recommendation: * Management has fingered the use of ID/credit cards throughout the resort as inefficient. * Increasing security. * The ability of guests to pre order food and have it ready when they arrive.

As such, we have identified two types of technologies that will solve the problems that JRI is facing. Our overall objective is to provide JRI with a feasible and sustainable system. From our research of different technologies, we concluded that the use of Biometric and Radio Frequency Identification (RFID) would be the most helpful tools to streamline JRI’s operational processes and to ensure a superior customer experience. The security issues will be addressed by using biometric technology such as a personalized fingerprint check-in system, which is commonly seen in organizations such as the FBI and CSIS.

In addition, RFID technologies will allow for faster information transfer, which will result in lower wait times and increased ordering efficiency. This report will provide an all-inclusive analysis of the logistical, technological, and financial factors associated with implementing such a system. By implementing these new technologies, Just Relax Inc. will gain a substantial market share in the hospitality industry. System Definition System Goal For the purpose of this project, our goal is to eliminate line-ups and decrease wait times for the resorts clientele while they are accessing the services provided by JRI.

Equipment rentals and food services are examples of services that will be streamlined within the resort. This will attract more guests to the resort, as their experience will become more enjoyable because of decreased wait times. The improvement to their business processes will give the company a unique advantage within the industry and reinforce their competitive strategy. System Scope This new system will facilitate JRI’s competitive strategy by supporting its business processes and minimizing the problems it currently faces.

This will help the company to achieve its objectives by decreasing wait times throughout the resort, all the while allowing customers to have more time to experience various activities offered by the resort. This new system will also be a smart investment for the future because it will provide JRI with the ability to modify the system according to different market, economic, and organizational scenarios. To find the most appropriate solution to Just Relax Inc. ’s (JRI) problem, we examined a multitude of different technologies and did an analysis of each. Through our analysis, we determined that RFID scanning paired with biometric authentication is the most readily available and cost effective technology. During the course of our analysis, we examined other technologies such as fob keys, but we came to the conclusion that they wouldn’t be sufficient to address the particular needs of JRI. As mentioned above, we examined fob keys as a possible solution to JRI’s problem.

This system would allow people to move uninterrupted through the facilities by using a special key that emits a specific radio frequency. By using fobs, wait times could be significantly decreased as there would be no need to take out and scan key cards. Although this system is similar to RFID, we found that while fob keys are expensive and difficult to program, RFID’s are relatively inexpensive, and much more versatile in regards to their possible usage. With these technologies in mind, we were able to determine that RFID and biometrics would be most suitable for JRI.

These systems are in wide use around the world today, and have proven to be valuable in managing not only people and lines, but also inventory, making it an extremely useful and versatile tool that would greatly enhance the customer experience at JRI. Requirement Analysis Just Relax Inc (JRI), a resort based organization, has recently demanded a significant change in their technical system to accelerate their operational activity.

The Radio frequency identification (RFID), a newly introduced technology, has been selected by our team as an “effective alternative” that will serve to enhance the JRI’s operational performance. JRI, equipped with RFID technology, would experience an instantaneous enhancement in its operational activities. The RFID’s hardware would entail the following features: touch screens, access cards with RIFD tags, RFID readers, computers, and biometric scanners. This new software would also incorporate the followings: customer management and identification software, inventory recognition software, self-scanning software, and finger print storage.

JRI, equipped with RFID technology, will operate in a highly sophisticated manner. Not only would it enhance JRI’s operational functions, but it would also give the organization a competitive edge. First, when a customer checks-in, the system will be able to identify the following things: a complete thumbprint, RFID card number, and all the other necessary information about the customer such as name, age, and room number. As the check-in green-lights the customer to proceed, the system will keep them in check, recognizing their location as they use the access card and place their thumb on the biometric scanner.

This technology would also enable the customers to do many other things online, such as doing services and booking activities and making reservations. Through the use of this system, a detailed history of a customer’s activities would be kept and stored in a database. For instance, the database would keep the following information about the customer on its server: customer name, credit card number, hotel room, and contact number. Moreover, this system will be able to keep track of the customers buying activities within the resort.

Technology Scan New technologies will be implemented to help achieve JRI’s security needs and to reduce customer wait times. The current system requires purchases to be written down on a receipt and customers are constantly being asked to verify their identity by showing proper identification and signature. RFID cards, as well as biometric finger scanners, will address these issues by assigning a unique serial number to each customer and object. These cards will eliminate the need to sign for new purchases.

To ensure the protection of JRI’s customers, each RFID card will be paired with a database that contains each customer’s fingerprint, which can be scanned when the RFID card is used. There are many activities available to our customers and each will be integrated to work with the RFID system. For example, if a customer wanted to rent a tennis racket, they would first swipe their card in front of the racket bin, scan their fingerprint, and then the racket would be released. This system will determine when and where an item was checked out, and it will help to ensure that penalties are charged if an item is not returned.

At the end of a customers visit, a customer service representative can retrieve a list of all the activities they participated in, along with their prices, so customers are able to make payments and ensure their accuracy. There are several factors as to why we chose RFID cards with fingerprint recognition instead of using credit cards accompanied with proper identification and signature. First, many activities at the resort involve wet or humid conditions. We needed a card which could be submerged in water and still operate properly.

Secondly, real-time database entries are created whenever a card is used resulting in a much more knowledgeable customer service representatives. If a problem occurs, customer service representatives can be reached and the most current information will be available to help resolve the customer’s issue. Finally, we came to the conclusion that biometric finger scanning was the best alternative because it eliminated the constant need to sign for identification. Transaction times are reduced dramatically and fingerprint recognition is more secure than written signatures.

This technology will also be able to be set up for family members so that they are billed on the same account. This will allow children to partake in activities without the need for a parent to accompany them. Proposal Summarized Overall, we concluded that the technology and resources needed to implement the RFID and biometric system is readily available and the system itself will fit within the current organizational culture at JRI. The cost is reasonable and most importantly, the new system will address the issues and provide them with the tools to maintain their position of excellence within the hospitality industry.
